We are currently recruiting for an Office Administrator in Scottsdale, AZ. The Office Administrator will support the office and multiple executives. The position requires strong Outlook and MS Office skills, Internet research skills, problem-solving skills, excellent interpersonal skills, a positive attitude and the ability to work well with a team, guests, vendors, and all levels of the organization.   • Receptionist (front desk presence, central phone coverage, welcome visitors)
  • Screen and prioritize mail and incoming telephone calls; respond to inquiries and resolve issues requiring attention
  • Provide advanced administrative support to senior executives
  • Heavy calendar management including scheduling video conferences
  • Coordinate staff meetings including prepare agendas, reports, and other meeting materials
  • Partner with Corporate Services to ensure proper function of the office environment
  • General office upkeep, which includes tidying offices, conference rooms, and pantry areas
  • 1st point of contact for maintenance issues (AC/heat/lights, repairs, service appointments)
  • Manage local floor plan, including seat changes and new hire set up
  • Mailroom maintenance (keep the mailroom in order, handle incoming/outbound overnight shipping, receive/distribute regular mail, process certified letters)
  • Management of office and kitchen inventory
  • 1st point of contact for office security, safety, and business continuity plan
  • As a member of the US Administrative team, participate in team meetings, special projects, and provide back-up support as needed
  • Provide light IT support (printer and copier paper and toner, video conferencing, coordinate new hire set-up and assist office visitors)
  • Track, prioritize and help drive completion of a wide range of ad-hoc projects and assignments


  • Bachelor’s degree preferred, but not required
  • Minimum of 3 years of Administrative / Executive Support experience in a corporate environment; Financial Services experience preferred
  • High Proficiency in Microsoft Office: expertise in Word, Excel, Outlook, and PowerPoint
  • Exceptional interpersonal, organizational, business communication and time management skills
  • Excellent written and verbal communication skills
  • Able to multi-task and be flexible to handle multiple deadlines
  • Maintain a high degree of confidentiality at all times
  • Must be cooperative, flexible and a team player
