We are currently recruiting for an Office Assistant / Administrator in White Plains, NY (Currently hybrid schedule - In-office 3 days and remote). The ideal candidate will have 2+ years of corporate administrative experience handling reception, supporting multiple executives and managing the office. Must have strong Outlook and MS Office skills, Internet research skills, excellent interpersonal skills, a positive/ customer focused attitude and the ability to work well with a team, guests and vendors, and all levels of the organization. 50K-60K Base+ Bonus + Benefits Package

Responsibilities:

  • Reception (front desk presence, central phone coverage, welcome visitors)
  • Provide administrative support to multiple executives, with heavy calendar management including scheduling video conferences and prepare written documents such as agendas, reports, and other meeting materials
  • Liaise with Corporate Services to ensure proper function of the office environment including: General office upkeep, which includes tidying offices, conference rooms, and pantry areas
  • Manage maintenance issues for office space (AC/heat/lights, repairs, service appointments)
  • Manage local floor plan, including seat changes and new hire set up
  • 1st point of contact for office security, safety, and business continuity plan
  • Manage office inventory and supplies
  • Track, prioritize and help drive completion of a wide range of ad-hoc projects and assignments
  • As a member of the US Administrative team, participate in team meetings, special projects, and provide back-up support as needed
  • Mailroom maintenance (keep the mailroom in order, handle incoming/outbound overnight shipping, receive/distribute regular mail, process certified letters)
  • Manage catering orders for the office

Requirements:

  • Bachelor’s degree preferred, but not required
  • Minimum of 2+ years of Administrative Support experience in a corporate environment; Financial Services experience preferred
  • High Proficiency in Microsoft Office, with demonstrated expertise in Word, Excel, Outlook, and PowerPoint
  • Strong organizational skills and detail oriented
  • Exceptional interpersonal, organizational, business communication and time management skills
  • Excellent written and verbal communication skills
  • Able to multi-task and be flexible to handle multiple deadlines
  • Maintain a high degree of confidentiality at all times
  • Must be cooperative, flexible and able to work well with others
