We are currently recruiting for an Administrative Executive Assistant in New York City (Midtown) to support a Regional Executive and multiple Senior Leaders. The position requires strong administrative support experience, advanced Outlook and MS Office skills, heavy calendar experience, excellent interpersonal skills, a positive attitude and the ability to work well with all levels of the organization, as well as outside guests and vendors. Compensation Package: 65-75K Base + Bonus + Benefits


  • Provide administrative support to Executive and Senior Leaders
  • Manage calendar, including meeting planning, scheduling, logistics and preparation
  • Travel management, both domestic and international
  • Expense reimbursement and invoice processing
  • Support daily needs for Regional Executive, Senior Leaders and staff
  • Screens and prioritizes mail and incoming telephone calls; responds to inquiries and resolves issues requiring attention
  • Prepare written documents such as agendas, reports, and other meeting materials
  • Plan and execute internal events, organize annual company picnic and holiday party
  • Actively involved with business projects

Additional responsibilities as needed:

  • Back-up reception duties to include: Front desk presence, central phone coverage, welcome visitors
  • As needed, administrative support for all local and visiting staff (scheduling meetings, typing memos, copying presentations, and scanning, assist with travel arrangements)
  • Liaison with Facilities Manager to ensure proper function of the office environment including: AC/heat/lights, entry key card distribution, computers, phones, problem resolution
  • Supplies maintenance (Inventory management, maintain the supply cabinet)
  • Mailroom maintenance (Keep the mailroom in order, handle incoming/outbound overnight shipping, receive/distribute regular mail, receive/distribute faxes, process certified letters)
  • Provide light IT support (printer and copier paper and toner, video conferencing, coordinate new hire set-up and assisting office visitors)


  • Bachelor’s degree and minimum 5 years of executive administrative experience
  • High Proficiency in Microsoft Office – especially a mastery of Outlook, with demonstrated expertise in Word, Excel, and PowerPoint
  • Able to multi-task and be flexible to handle multiple deadlines
  • Exceptional interpersonal and time management skills
  • Excellent written and verbal communication skills
  • Maintain a high degree of confidentiality at all times

Local candidates only (commutable to NYC Midtown). No relocation. No sponsorship.

Compensation Package: 65-75K Base + Bonus + Benefits
